Headcount Needed: 1 pax (Full Time)
Salary:
- $3,600.00 per month
Roles & Responsibilities:
1. Tenure Track/Tenured Faculty and AM Named Donor Professorship Support:
- Perform pre-reviews and manage timely submission of nomination documents for Distinguished, Faculty, and Emeritus Professorships, as well as Tenure (on/with) Faculty appointments.
- Prepare paper and slides for submission for approval to Academic Medicine Executive Committee (AM EXCO) and other leadership/board committees.
- Maintain and update the master tracking list of nomination steps to ensure all milestones and deadlines are strictly met.
- Liaison with Faculty and ACPs/Stakeholders on admin processes as required.
2. Grant Support & Award Administration
- Provide comprehensive administrative support for grant calls and award review sessions.
- Coordinate review sessions with Point of Contacts (POCs) and translate discussions into formal meeting minutes.
- Assist in drafting and checking materials including AM EXCO papers, Letters of Award (LOAs), and track the submission of signed LOAs.
- Perform initial reviews and follow-up on CIVA and CTDA progress reports.
3. Event & Engagement Coordination
- Provide pre- and post-event logistical support, including calendar coordination with stakeholders and venue management with various stakeholders.
- Draft and review event/engagement materials such as forms, scripts, presentation slides, and work breakdown structures.
- Liaise with stakeholders for publicity materials and coordinate with the V3 team for AMC website updates.
- Preparation of pre- and post-event budget materials to ensure financial accuracy and compliance with the client’s policies.
4. Database & Administrative Support
- Maintain and update talent databases, including but not limited to PSGs records and Tenure Track/Tenured Faculty and AM Named Donor Professorship masterlists.
- Support projects such as the collation and coordination of “Inspiring Stories” and other administrative support.
5. Ad hoc duties as assigned
Key Requirements:
- Good degree with at least 2-3 years’ relevant experience and strong track record of stakeholder management, and driving multi-faceted projects with good outcomes.
- Good organisational and time management skills, with the ability to prioritise tasks and meet deadlines and to carry out analytical and coordination work.
- Experience in managing grants/funds/budgets, research/education projects and/or faculty matters.
- Highly meticulous and detail-oriented, with experience maintaining databases, and tracking records with a high degree of accuracy.
- Competency in Microsoft Word, PowerPoint, Excel, Acrobat, CANVA etc. Knowledge of Adobe Photoshop will be an advantage
- Team player with ability to work independently and complete tasks and projects assigned
- Self-driven with initiative and resourcefulness
- Able to commit at least 7 months.
