Roles & Responsibilities:
- Source, evaluate, and onboard suppliers and distributors for PC hardware, laptops, peripherals, and accessories..
- Negotiate pricing, payment terms, credit lines, MOQs, return policies, and delivery lead times.
- Manage and review supplier contracts; handle renewals, amendments, and terminations.
- Conduct regular supplier performance reviews; maintain a tiered vendor register.
- Escalate and resolve issues: short-shipments, defective goods, pricing disputes, and claim submissions
- Monitor stock levels across all retail branches and warehouse; proactively flag slowmoving and out-of-stock items
- Collaborate with sales team to forecast demand for product launches, campaigns, and seasonal peaks
- Set and maintain reorder points and min/max parameters in the inventory system
- Minimise dead stock and overstock through lifecycle management and timely clearance coordination
- Coordinate stock allocation across Plaza Low Yat, IOI City Mall, Leisure Mall (Cheras), and Vivacity (Kuching)
- Prepare, issue, and track POs from approval through to delivery and GRN confirmation
- Liaise with logistics and warehouse team on delivery scheduling, discrepancy reporting, and stock-in verification
- Ensure all purchase documentation is accurate, complete, and filed per company SOPs
- Monitor and follow up on outstanding orders; escalate delayed deliveries to management
- Track competitor pricing, new product launches, and market trends in consumer IT and peripherals
- Recommend new SKUs for the retail and online portfolio based on sales data, margin analysis, and demand signals
- Monitor vendor promotions, rebate programs, co-op marketing, and brand incentive schemes
- Provide product briefings to sales staff on new arrivals, key specs, and pricing strategy
- Work with the e-commerce team to align online and offline stock availability and pricing
- Coordinate with marketing on campaign product selection, bundle deals, and promotional pricing
- Liaise with finance on invoice matching, payment scheduling, credit note processing, and GL coding
- Support B2B/corporate sales team with sourcing for project and bulk orders
- Track purchasing budget vs. actual spend; flag variances to HOD monthly
- Prepare weekly/monthly procurement reports: PO summary, GRN report, stock-in, supplier credit utilisation
- Maintain accurate product cost records; update pricing master file when supplier prices change
Key Requirements:
Education & Experience
- Diploma or Degree in Business Administration, Supply Chain, or related field
- Minimum 2 years of purchasing/buying experience, preferably in IT retail or consumer electronics
- Proficient in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, basic data analysis)
- Familiar with ERP or inventory management systems (Wavelet or similar is a plus)
- Basic understanding of accounting concepts: GL codes, credit notes, invoice matching
- Strong negotiation skills — able to push back on vendors and secure favourable commercial terms
- Analytical mindset — comfortable interpreting stock reports, aging inventory, and margin data
- Highly organised; able to manage multiple POs, vendors, and deadlines simultaneously
- Proactive communicator with good follow-through
- Existing distributor/vendor relationships in the Malaysian IT channel (e.g., SNS Network, Ingram Micro, SIS)
- Knowledge of HP, Asus, Acer, Lenovo, MSI, or Gigabyte product lines
- Experience handling brand co-op claims, rebate submissions, or trade-in programs
