Headcount Needed: 1 pax (Full Time)
Salary:
- Up to $3,000.00 per month
Roles & Responsibilities:
1. Administrative support for Grants & Awards
- Prepare email blasts on Grant/Awards – Call for Application
- Collate grant information from the submitted Grant application forms to excel spreadsheet after closing of grant call.
- Provide administrative support to grant review sessions such as communicating with grant PIs before/during the review session and admitting PI into Zoom waiting room.
- Conduct Application Transfer in grant management system upon award of application.
- Assist in update of grant variation/extension information in grant management system upon approval of variation requests.
- Assist in drafting email responses using standard email templates.
2. Maintaining master lists and mailing lists for the various grant schemes
- Timely and accurate update of grant master lists at the end of each grant cycle with all required information.
- Timely update of mailing lists when there are updates to appointments in the ACP and AMC, and/or as requested by key stakeholders.
3. Administrative support for post-award reporting requirements
- Follow-up on yearly progress/final reporting requirements for AM grants facilitated by the department which are not in the grant management system.
- Conduct review and checks on grant information and KPI achievement status for the submitted reports with reference to checklist.
- Communicate with ACP Key Administrators for revision of reports when information is missing in the reports.
4. Administrative support for Grants Info on Website and Collaterals
- Design simple, reader-friendly information onto posters and websites using templates available on Microsoft or Canva to support publicity for Grants and Awards.
- Collaborate with colleagues from another team to update and edit existing publicity materials.
5,. Ad hoc duties as assigned
- Take on any other assignments that the team and Department may assign from time to time.
Key Requirements:
Educational / Professional Qualifications:
- Polytechnic Diploma in Business Practice (Business Management) preferred; GCE “A” Level or equivalent qualification.
Relevant Experience
- At least 3 – 5 years’ experience in a relevant administrative/clerical position
- Good oral and written English; good telephone etiquette.
- Literacy in computer software (Microsoft Word, Excel, PowerPoint)
- Comfortable with using online system / IT system
