Roles & Responsibilities:
- Support the planning and coordination of AI initiatives and product strategy workstreams, including tracking progress, preparing materials, and following up on action items.
- Draft and manage notes of meeting, briefing papers, presentations, and internal and external communications.
- Provide administrative support for the planning and execution of workshops, events, division townhalls, and management visits.
- Coordinate meetings and engagements with senior management, including scheduling, agenda preparation, and post-meeting documentation.
- Liaise with the senior management secretariat, internal teams, and external vendors to facilitate timely information flow and project coordination.
- Maintain organised records of workstream activities, decisions, and deliverables to support team continuity and accountability.
- Support the preparation of announcements, updates, and stakeholder correspondence as required.
- 3–5 years of experience in administrative and/or communications roles.
- Demonstrated ability to draft professional documents including NOMs, briefing papers, and corporate communications.
- Tech-savvy with strong proficiency in Microsoft Office Suite and digital collaboration tools.
- Strong organisational skills with the ability to manage multiple priorities concurrently.
- Prior exposure to AI, digital government, or product strategy projects.
- Experience working in or with public sector organisations.
- Familiarity with government documentation standards and processes.
- Produces clear, concise, and professional written and verbal communications.
- Comfortable working across different levels of seniority and with external parties.
- Meticulous in documentation, follow-ups, and record-keeping.
- Able to work independently and navigate a fast-paced environment.
- Handles sensitive information with appropriate confidentiality.
- Familiar with AI concepts, tools, and terminology.
- Comfortable navigating digital platforms, productivity tools, and emerging technologies.
- Basic understanding of product management concepts.
- Able to synthesise information, identify patterns, and present findings clearly to support decision-making on product and AI workstreams.
- Able to translate technical concepts into clear, accessible language for diverse stakeholders including non-technical senior management.
